Arbour Hospital is a 136-bed private psychiatric facility located in Bostonâ€™s Jamaica Plain neighborhood. The hospital specializes in adult mental health treatment, adolescent and dual diagnosis services. Other services include partial hospitalization programs (PHP) and outpatient treatment.
The Intake Coordinator receives, accepts and initiates appointment referrals from prospective clients and referring sources. Furthermore, this person will review all assessment information and assign the case to an appropriate clinician for an in-depth review. Once the clinician has been assigned to the case the person in this role will explain the evaluation process, verify and obtain insurance authorization, set up an appointment with the prospective clinician, and answer any questions the client may have. This person must communicate effectively, and professionally interact with all referral sources to procure timely appointment offerings while maintaining a positive relationship with the referring people and agencies.
Conduct brief screenings to determine the nature and extent of client needs, and make appropriate case assignments by staying knowledgeable of the type of insurance individual clinicians are billable to and clinician specialties
Verify client insurance coverage, co-payment (co-insurance and deductible), and obtain authorizations for treatment from the clients insurance pay source prior to the initial appointment
Communicate â€œExplanation of Behavioral Health Benefitsâ€� to all incoming clients with Commercial Insurance prior to initial appointment
Enter all new client information into the computer system; Scan â€œWalk-Inâ€� referral sheets and â€œDischarge Summariesâ€� into new client record
Stay informed of all of the insurance companies credentialing criteria by communicating with the office manager
Maintain statistical records, via Referral Log, for tracking referral source activity and no-show rates for intakes and watching for early terminations after case assignment
Keep Office Manager aware of the current referral trends and of any significant changes that may present
Daily reminder calls for all new clients prior to initial appointment
Fill out necessary paperwork for the PT-1 Form for Masshealth Clients that are in need of â€œThe Rideâ€�
Establishes and maintains effective working relationships within the agency and related sources
